Connect an email inbox
Turn a support email address into a shared inbox using SMTP and IMAP.
Last updated May 27, 2026
Connect the email address your customers already write to. ConnectBetter sends through SMTP and receives through IMAP, so it works with Gmail, Outlook/Microsoft 365, FastMail, iCloud, Yahoo, and self-hosted mail servers.
Before you begin
- You need to be an Admin in ConnectBetter.
- Have your mail provider's SMTP and IMAP server settings ready (host, port, and whether they use TLS).
- For Gmail and Outlook/Microsoft 365, create an app password and use that instead of your normal login password.
Add a mailbox
- Sign in at app.connectbetter.co.
- Go to Settings → Channels and choose Email.
- Under Add a mailbox, fill in the fields:
- Identity — the email address, an optional display name (e.g. "Acme Support"), and an optional Reply-To address.
- SMTP (send) — host, port (often 465), TLS setting, username, and password (or app password).
- IMAP (receive) — host, port (often 993), TLS setting, username, password, and the folder to watch (usually
INBOX). - Advanced (optional) — how often to check for new mail, and your Sent folder name.
- Select Test & save.
Saving runs a real SMTP and IMAP login. If either one fails, ConnectBetter tells you exactly which one before saving anything — so you can fix the setting and try again.
Once connected, the mailbox appears under Connected mailboxes, and new email arrives in your Inbox.
Good to know
- App passwords. Most providers block third-party sign-ins with your main password. An app password is a provider-generated password just for ConnectBetter.
- Connection errors. If a mailbox later shows an error, open its entry to see the latest message from your provider, then re-check the settings.
Disconnect a mailbox
Open Settings → Channels → Email and select Disconnect next to the mailbox.
